Frequently Asked Questions: Project Management Setup
(01)Notion, Asana, ClickUp, Monday.com or Linear – which fits us?
That depends on how your team works. Roughly: Linear for software teams with tickets and sprints, Asana and Monday.com for cross-department projects with clear ownership, ClickUp for teams that want to bundle a lot in one tool, Notion when documentation and projects belong closely together. We recommend with reasons after the analysis; you decide.
(02)Can ongoing projects be moved over from Trello, Jira or Excel?
Yes. We move ongoing projects and tasks using the tools' import functions or CSV and map them to the new structure. Completed old projects are usually just archived rather than fully migrated – we agree on that up front.
(03)How do we make sure the team actually uses the tool?
With a lean structure, few mandatory fields, templates for recurring projects and training on your real projects. An internal owner, whom we brief as well, helps a lot. Whether the tool is used day to day ultimately depends on team leadership – we can support that, but not promise it.
(04)Can the tool be connected to our other systems?
Most tools come with ready-made connections, for example to Slack, Microsoft Teams, Google Workspace or GitHub. Anything beyond that we build with Make, Zapier or n8n. More complex interfaces are planned as a separate integration after scoping.
(05)How long does the setup take and what does it cost?
As a Setup, one to two weeks, depending on the number of teams, project types and projects to move over. We quote the work as a fixed price after scoping, with an offer within 48 hours. You pay the tool licences directly to the vendor.
(06)What happens after handover?
You receive documentation of the structure, templates and automations plus 30 days of free bug fixing from final delivery. Further teams, automations or dashboards can be added as Build & Support if you wish.
